Uploading a file is the first step in protecting your data with emailHygiene. Here’s how to get started.
Step 1: Prepare Your File
Before uploading, make sure your file meets these basic requirements:
- Accepted formats: .CSV or .TXT
- Must include a column labeled email
Files missing these elements will not upload successfully.
Step 2: Navigate to the Upload Area
From the left navigation bar, click Upload.
You can either:
- Drag and drop one or more files directly into the upload window, or
- Click the Upload button to browse and select files manually
Once added, your file(s) will appear in a list below the upload window.
Step 3: Assign Scan Profiles
After the file is uploaded, you’ll see a summary screen showing details about your file:
- File Name: The name of your uploaded file.
- Records: Total number of email records detected in the file.
- Fields: Number of data columns imported (e.g., name, phone, company, etc.).
- Email Field: The system will identify which column contains email addresses.

Parse Errors: The number of formatting issues detected. A parse error happens when the system can't interpret a row correctly—usually because of missing data, invalid characters, or structural issues in the file.
- If your CSV file, directly from an ESP or CRM, contains only a single email column, you can continue as some files may contain hidden characters. emailHygiene focuses solely on email addresses, not other data like addresses, which might include problematic spaces or characters.
- Profile: The dropdown where you assign a filter profile. A profile is a pre-set configuration of filters that determine what types of threats or quality issues the system should look for during processing.
To continue, select a profile for each uploaded file. Once all profiles are selected, the Confirm All button will become active. Once clicked, you will be redirected to the Dashboard
If your organization uses multiple profiles, be sure to select the correct one for your use case.
Step 4: Confirm and Monitor Processing
After clicking Confirm All, your file will begin to process through several stages:
- Copying: The file is securely transferred and stored.
- Extracting: The platform opens the file and reads its structure.
- Converting: Data is converted into a format ready for scanning.
- Progress Meter: A circular indicator will show the percentage complete.
You’ll see this visual progression in real time until your file reaches 100%. For processing times for files, please refer to this article, most files will complete in seconds to minutes.
Step 5: Review Results
Once processing is complete, your file will move to the Completed Files section of the dashboard. From there you can:
- View a quick summary of threats, including:
- Total Clean
- Verification Invalid
- Verification Unknown
- Other Threats
- Download the ZIP file which includes the Email Intelligence Report Suite and insert file with all threat flags for all records.
The insert file is ready to import into your ESP or CRM, and it includes segmented records based on threat type and information from the Email Intelligence Report Suite.
- Explore More Options: Click the More Actions button (three-dot menu) to open the Download Report and/or Email List panel.
- Here, you can:
- Download the summary report as a standalone CSV file
- Select specific threat segments to isolate. Refer to the chart below for an explanation of what threat is and suggested actions for each threat type.
- Use Download to get a CSV with selected threats, or Export to push the segmented list into another destination via FTP or API (if enabled)
Note: Results are available for download for up to 7 days. This retention period can be adjusted by your administrator in the Account Settings.
