At Webbula, we understand that data handling and processing are critical aspects of our services. Below, we address some of the most frequently discussed topics related to data retention, file requirements, processing times, and error handling to ensure you have all the information you need to effectively use our platform.
Data Retention Policy
Webbula's data retention policy states that any data files containing sensitive information (including input files, intermediate processing files, and results files) will be deleted within 7 days. While the data file (insert.csv) will be deleted, the Excel report file (report.xls) contains summary information with no individual data and can be downloaded at any time. Reporting and logging information is saved, as is a record of any data policy deletions performed by the system. The 7-day retention policy is Webbula's default but can be adjusted (shortened but not extended) for your account in the account settings page.
File Upload Issues
Processing of a file will be cancelled if the file doesn't have an email column. Files can have any number of columns but must contain only one column of emails called "Email".
File Requirements
The only required column for an EmailHygiene file is the "Email" column. This column may be positioned anywhere in the file but must be the only column containing emails.
For maximum compatibility, we strongly recommend adhering to the following settings:
- File Extension: .csv, .txt
- Delimiter: Comma [ , ], Pipe [ | ]
- Line Breaks: Unix (LF)
- Encoding: Unicode (UTF-8)
Processing Times
Processing times are as follows:
- 1,000,000 records: 24 Hours
- 500,000 records: 12 Hours
- 250,000 records: 6 Hours
- 100,000 records: 2.5 Hours
- 10,000 records: 20-30 Minutes
Note: These times reflect running both Hygiene (Spam Traps, Moles, Bots) and Verification (Bounces).
Error Handling
A parse error is generated when a line of data does not match the header. There are several ways this can happen. An interrupted file transfer can leave a partial line in a file. Some programs append file information onto the end of CSVs that will generate parse errors. A common example is a file exported from Salesforce, which could include copyright, report, user, and company information and more at the end of a correctly encoded file. Parse errors do not indicate a problem with the entire file; they only show the number of lines in the file that could not be processed.
Data Updates
Since the emailHygiene service is an ever-evolving platform, updates happen in 15-minute, hourly, daily, monthly, and quarterly intervals.
Accessing Results
The insert.csv file has all of your initial data with our email flags added in a column at the end. Please scroll to the right in the sheet to find the flags.
There are two parts to your results .zip file. The insert.csv has your original data and the email threat and verification category flags attached to it. The Report is a summary of those threat and verification category flags based on the unique profile settings of your account.
